Fees
Early Registration:
For delegates: $75 per delegate, $60 delegation fee (waived for independent delegates).
For sponsors: $10 per sponsor.
Regular Registration:
For delegates: $90 per delegate, $70 delegation fee (waived for independent delegates).
For sponsors: $10 per sponsor.
Hotel Fees
Throughout conference weekend, WMHSMUN partners with the Colonial Williamsburg Foundation in order to provide a discounted group rate for delegations staying at the Williamsburg Woodlands Hotel & Suites or the Griffin Hotel. We highly recommend both hotels and we provide complimentary transportation to and from William and Mary’s Main Campus and both hotels before and after committee sessions. More details on booking and receiving the group rate will be provided by our Registration Director, Mona Garimella, after registering. Registration/payment TIMELINE + DETAILS
April 3, 2024: Early Registration and WMHSAid open
August 15, 2024: Early Registration closes. Delegation fee + 50% of fees due by end of the day for early registration. (the “Initial Deposit”)
August 16, 2024: Regular Registration open
September 13, 2024: WMHSAid application form closes at the end of the day
October 4, 2024: Regular Registration closes. Delegation fee + 50% of fees due by end of the day for regular registration. (the “Initial Deposit”)
October 18, 2024: Last day to notify the Registration Director of any dropped delegates for a refund (read more under “Refund Policy”)
November 15, 2024: Remaining 50% of fees due by the beginning of Opening Ceremonies (the “Final Deposit”)
Payment is not required at the time of registration, and we accept payment via Stripe or check. Please make all checks payable to the International Relations Club at William & Mary. Do NOT make checks payable to WMHSMUN, William & Mary, or W&M MUN. Should registration close early due to capacity, the fee deadlines do not change. If your delegation prefers to pay online through Stripe, please use the button at the bottom of the page to access the site once registration opens.
SPONSOR POLICY
WMHSMUN XXXVIII also requires a 1:15 sponsor-to-delegate ratio. Every adult attending must be registered as a sponsor. This helps our conference to run as smoothly as possible; thank you in advance for your understanding and cooperation!
Refund policy
If a delegation needs to drop delegates, the Registration Director must be notified of all changes by October 18, 2024, in order to receive a refund of delegate fees. Refunds for dropped delegates after this deadline will be subject to Secretariat discretion and may be offered on a case-by-case basis. Under no circumstance will delegation fees be refunded. Please note that it is easier for WMHSMUN to add new delegates to your delegation than it is to accommodate dropped delegates, so please keep that in mind when you are registering for a specific delegation number.
Late Fee policy
To ensure that our conference can accommodate as many interested delegations as possible, all payments received/postmarked after the deadlines will be subject to late fees. Initial Deposits must either be sent via Stripe by the end of the day on October 4 or postmarked by October 8. All Initial Deposits postmarked/received between October 4-October 10 will be subject to an additional 10% late fee, while any payments received/postmarked on October 10th or later will be subject to an additional 15% late fee. Committee Assignments will also not be distributed to delegations until we receive the Initial Deposit. All payments MUST be made in full by the start of Opening Ceremonies on the Friday of conference weekend in order for delegations to participate in WMHSMUN XXXVIII. Our Registration Director, Mona Garimella, will contact you when we receive any payment so that you can keep track of your status!

Financial Aid
WMHSMUN is committed to making sure that our conference is accessible. Consequently, we are proud to offer financial assistance to schools that apply in the form of our WMHSAid program. The WMHSAid application window will open on April 3rd and close on September 10th. Applicants will receive a status update in early October.
